Billing Assistant

The Billing Assistant will be responsible for managing and processing insurance claims and client billing in a timely and accurate manner. This role includes submitting insurance claims, generating patient invoices, and following up on unpaid accounts. Success in this position requires strong communication skills, a thorough understanding of mental health billing codes, and the ability to work independently while providing essential support to our team of therapists.

Reports to: Practice Manager

Qualifications:

  1. High school diploma or equivalent; Associate’s degree or certification in medical billing preferred

  2. 2+ years of experience in medical or mental health billing, with a focus on insurance claims and patient invoicing

  3. Strong knowledge of CPT codes, ICD-10 codes, and insurance billing platforms 

  4. Familiarity with mental health billing rules, including Medicaid, Medicare, and commercial insurance plans

  5. Excellent attention to detail and problem-solving skills

  6. Ability to maintain confidentiality and comply with HIPAA regulations

  7. Proficient in using billing software, spreadsheets, and electronic communication

  8. Strong communication skills and the ability to explain billing issues to clients in a respectful and clear manner

Job Duties and Responsibilities: 

  1. Review and resubmit insurance claims electronically using accurate coding and documentation.

  2. Verify client insurance benefits and eligibility prior to intake and throughout services.

  3. Monitor claims for rejections or denials; correct and resubmit as necessary.

  4. Post payments from insurance companies and clients to billing software.

  5. Follow up on unpaid claims and aged accounts to ensure prompt reimbursement, including reviewing billing reports and researching outstanding claims.

  6. Maintain and update spreadsheets with outstanding claims; communicate regularly with insurance companies regarding claim status.

  7. Contact clients regarding outstanding co-pays and self-pay balances.

  8. Generate client statements and manage collections for overdue balances in a professional and compassionate manner.

  9. Respond to insurance companies and clients regarding billing inquiries and discrepancies.

  10. Collaborate with therapists to ensure clinical documentation meets billing requirements.

  11. Maintain current knowledge of insurance guidelines, HIPAA regulations, and mental health billing practices
