Practice Manager

The Practice Manager is responsible for overseeing the operational, administrative, and HR functions of the therapy office while also handling billing tasks and providing clinical support as needed. Key responsibilities include managing claim submissions, coordinating with external billers, and ensuring compliance with insurance regulations and credentialing. The role involves supervising staff onboarding, training, and ongoing administrative development, as well as overseeing daily office operations such as supply management, building utilities, and administrative support. Clinical duties may include running therapy groups and providing case management to support client care. The Practice Manager leads weekly administrative team meetings to address office performance and collaborates with clinical directors to streamline practices and uphold organizational standards. Strong communication, leadership, and organizational skills are essential, along with proficiency in practice management software and experience in billing, insurance compliance, and clinical care.

Key Responsibilities:

Billing & Insurance Management:

  • Submit insurance claims accurately and on time.

  • Coordinate with external billers to resolve billing issues and streamline processes.

  • Ensure compliance with insurance updates, credentialing, and eligibility verifications.

Operational Management:

  • Oversee daily office operations, including supply ordering, building utilities, and maintenance.

  • Manage practice expense reporting and monitor financial metrics.

  • Maintain practice management software usage to ensure compliance and efficiency.

  • Lead weekly team meetings to discuss office performance, updates, and needs.

Human Resources Management:

  • Coordinate the onboarding process for new hires, including paperwork and task management.

  • Conduct training for new staff on systems, policies, and procedures.

  • Oversee ongoing training for billing, system usage, and compliance requirements.

  • Ensure staff adherence to licensure, credentialing, and BHE/Safety Net regulations.

Clinical Support:

  • Run therapy groups as needed to support clinical team operations.

  • Provide case management services when necessary to ensure seamless client care.

  • Collaborate with clinical directors to align clinical services with organizational goals.

Leadership & Collaboration:

  • Foster a collaborative and positive work environment through effective team leadership.

  • Work closely with clinical and quality assurance directors to streamline office practices and maintain high standards of care.

  • Address any operational, billing, or clinical issues that may arise, ensuring timely and effective resolutions.
